This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at cleanspacestay.com, access our crew travel management platform at app.cleanspacestay.com, use our mobile applications for Apple iOS and Google Android, or otherwise interact with our products and services (collectively, the "Services").
CleanSpace Stay provides the Services to businesses for the purpose of managing crew and workforce travel. In most cases, your employer or the organization that invited you (the "Organization") controls your account and decides what information is entered into the Services. Where we process information on behalf of an Organization, we act as a service provider or processor to that Organization, and the Organization's own privacy policies may also apply to you. By using the Services, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect
We collect information in several ways when you use the Services. The categories of information we may collect include the following.
- Account and Profile Data: Personally identifiable information such as your name, email address, phone number, company or Organization name, job title, role (for example, project manager, foreman, or worker), and the projects you are assigned to, which is provided when an account is created for you or when you update your profile.
- Travel and Booking Data: Information related to crew travel requests, bookings, itineraries, hotel and lodging details, flight and ground transportation details, per diem and reimbursement information, confirmation references, and associated financial and accounting data necessary to provide the core functionality of the platform.
- Communications Data: Messages, support requests, and other communications you send through or in connection with the Services, including content you provide when you contact us for help.
- Derivative and Usage Data: Information our servers automatically collect when you access the Services, such as your IP address, browser type, operating system, access times, referring and exit pages, and the features and pages you use within the Services.
2. Information Collected Through the Mobile App
When you use the CleanSpace Stay mobile application on an Apple iOS or Google Android device, we may collect additional information specific to mobile use, including the following.
- Device Information: Device model, operating system and version, unique device identifiers, mobile network information, application version, language settings, and crash and diagnostic data used to keep the app stable and secure.
- Push Notification Tokens: A token that allows us to deliver push notifications to your device when you enable them. You can disable push notifications at any time in your device settings.
- Camera and Photo Library Access: With your permission, the app may access your device camera and photo library so you can capture or upload documents and images, such as a driver's license or other travel documents. We access this content only to provide the requested functionality and do not access your camera or photos for any other purpose.
- Location Information: Where you grant permission, the app may use approximate or, if you allow it, precise location to support travel-related features. You can control or revoke location permissions at any time in your device settings; disabling location may limit certain features.
The categories of mobile data we collect, and the permissions the app requests, are also described in the app's listing on the Apple App Store and Google Play. You control app permissions through your device's operating system settings.
3. Identity and Travel Documents
To make travel arrangements efficiently, the Services allow you and your Organization to store information that is sensitive in nature. This may include images of government-issued identification (such as a driver's license or passport), known traveler numbers and TSA PreCheck or Redress numbers, loyalty and rewards program numbers, and similar travel credentials. We collect and store this information only to facilitate travel bookings and related services, we restrict access to it within the platform based on role, and we apply administrative, technical, and physical safeguards designed to protect it. You and your Organization are responsible for ensuring that any documents uploaded are accurate and that you are authorized to provide them.
4. How We Use Your Information
Having accurate information about you permits us to provide you with a smooth, efficient, and reliable experience. We use the information we collect to create and manage accounts; to process and coordinate travel requests, bookings, itineraries, and related transactions; to operate the role-based workflow that routes requests among project managers, foremen, workers, and back-office staff; to communicate with you about your account, bookings, and support requests; to send service-related notices and, where enabled, push notifications; to monitor, maintain, secure, and improve the Services; to detect, prevent, and address fraud, abuse, security incidents, and technical issues; to generate aggregated and de-identified analytics about how the Services are used; and to comply with legal obligations and enforce our agreements.
5. How We Disclose Your Information
We do not sell your personal information. We may disclose information we have collected in the following circumstances.
- To Your Organization and Authorized Users: Because the Services are operated for businesses, your information is accessible to authorized users within your Organization according to their role, such as the project managers, foremen, and administrators responsible for your projects and bookings.
- Service Providers: We share information with third parties that perform services for us or on our behalf, such as cloud hosting and database providers, email delivery (for example, Resend), SMS and messaging providers, mapping and geolocation providers, payment processors, and analytics providers. These providers are permitted to use the information only to perform services for us.
- Travel Suppliers: To complete a booking, we may share necessary travel details with airlines, hotels, lodging providers, ground transportation companies, and travel intermediaries.
- Legal and Protective Disclosures: We may disclose information where we believe in good faith that it is necessary to comply with applicable law, regulation, legal process, or governmental request; to enforce our Terms of Service; or to protect the rights, property, safety, and security of CleanSpace Stay, our users, or others.
- Business Transfers: We may share or transfer information in connection with, or during negotiations of, any merger, sale of company assets, financing, acquisition, or transfer of all or a portion of our business to another company. Any acquirer would be bound to honor the commitments made in this Privacy Policy.
6. Third-Party Services and Travel Suppliers
The Services rely on, and integrate with, third-party providers and travel suppliers that have their own privacy practices. When a booking is fulfilled by an airline, hotel, lodging provider, or transportation company, the supplier's collection and use of your information is governed by that supplier's own privacy policy. We encourage you to review the privacy policies of any third-party services and travel suppliers whose products you use through the Services.
7. Push Notifications and Communications
With your consent, we may send push notifications or alerts to your mobile device to provide booking updates, approvals, messages, and other service-related information. You can opt out of receiving push notifications at any time through your device settings. We may also send you service and transactional communications by email or SMS that are necessary to operate your account; these are not promotional and may be required for the Services to function.
8. Analytics
We use analytics tools to understand how the Services are accessed and used so that we can maintain and improve them. These tools may collect usage and device information described above. We use this information in aggregated or de-identified form wherever practicable.
9. Data Retention
We retain personal information for as long as your account is active or as needed to provide the Services, and thereafter for as long as necessary to comply with our legal, accounting, tax, and regulatory obligations, to resolve disputes, to enforce our agreements, and to support legitimate business purposes. When information is no longer required, we take reasonable steps to delete it or to de-identify it. Because accounts are managed by your Organization, retention of your data may also be governed by the Organization's policies and instructions.
10. Security of Your Information
We use administrative, technical, and physical security measures designed to protect your personal information, including access controls that limit information to authorized users based on role. While we take reasonable steps to secure the information you provide, please be aware that no method of transmission over the internet or method of electronic storage is fully secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for any activity that occurs under your account.
11. Your Privacy Rights
Depending on where you live and applicable law, you may have certain rights regarding your personal information, including the right to request access to the personal information we hold about you, the right to request correction or deletion of that information, and the right to request information about how it is used and disclosed. We do not sell or share your personal information for cross-context behavioral advertising, and we do not discriminate against you for exercising your privacy rights.
Residents of the State of Florida may have rights under the Florida Digital Bill of Rights, and residents of certain other states may have comparable rights under their state privacy laws, including rights commonly associated with the California Consumer Privacy Act. Because your account is typically managed by your Organization, we may direct certain requests to your Organization, or fulfill them in coordination with your Organization, where it is the controller of your information. 12. Children's Privacy
The Services are intended for business use by adults and are not directed to children. We do not knowingly collect personal information from individuals under the age of 16. If we learn that we have collected personal information from a child without appropriate consent, we will take steps to delete that information.
13. Where Your Information Is Processed
CleanSpace Stay is based in the United States, and the information we collect is processed and stored in the United States by us and our service providers. If you access the Services from outside the United States, you understand that your information will be transferred to, and processed in, the United States, where data protection laws may differ from those in your jurisdiction.
14. Governing Law
This Privacy Policy and our privacy practices are governed by the laws of the State of Florida, without regard to its conflict of law principles. Any disputes arising under this Privacy Policy are subject to the dispute resolution and venue provisions set out in our Terms of Service.
